Plantings
Plantings are the core records that track crop cultivation from the initial fill date through all harvest cycles until completion. Each planting represents one complete crop cycle in a specific room.
Overview
Section titled “Overview”Purpose: Track crop cultivation from start to finish, recording all important details about the growing process.
A Planting record contains:
- Name - Planting name or identifier
- Description - Optional description
- Room - Which room this planting is in
- Start Date - When the planting cycle began
- End Date - When the planting was completed (null = active planting)
- Fill Date - When compost was added to the room
- Fill Supplier Name - Who provided the compost
- Fill Details - Details about the fill process
- Compost Tonnage (KG) - Amount of growing medium in kilograms
- Area (Sq Meters) - Area covered by the planting
- Spawn/Strain - Which spawn material was used
- Moisture (%) - Moisture percentage
- Supplement - Supplement amount in kilograms
- Supplement Name - Type of supplement used
- Supplement Supplier - Who provided the supplement
Key Concepts:
- Active Planting: A planting without an end date. This means the crop is still growing or being harvested.
- Closed Planting: A planting with an end date. This means all harvest cycles are complete.
- Flushes: Harvest cycles within a planting (Flush 1, 2, 3). You assign flushes to harvest dates to track when each flush occurred.
After creating a planting, you can:
- View and manage flushes for this planting
- Close the planting by assigning flushes to harvest dates
- Track the complete lifecycle from fill to final harvest
Viewing Plantings
Section titled “Viewing Plantings”- Click Plantings in the sidebar menu (under Farm Management)
- You’ll see a table with all plantings, sorted by start date (newest first)
Table Columns
Section titled “Table Columns”| Column | Description |

Sorting and Filtering
Section titled “Sorting and Filtering”- Click any column header to sort by that column
- Use the Active filter to show only active plantings (no end date) or closed plantings
- Use the Rooms filter to show plantings from specific rooms
- Use the Deleted records filter to show archived plantings
- Click the columns toggle button to show or hide columns
Understanding Active vs Closed
Section titled “Understanding Active vs Closed”- Active plantings have no end date - they’re still in progress
- Closed plantings have an end date - they’re finished
- The default filter shows only active plantings
- Change the filter to see closed plantings
Creating a Planting
Section titled “Creating a Planting”Who can do this: Super Admin, Operations Manager

Click Plantings in the sidebar

Click the New planting button (top right)

Fill in the form:
Basic Information:
- Name (required): Enter a planting name (e.g., “Room 1 - January 2024”, “A-12 Spring Crop”)
- Description (optional): Add any relevant details
Dates:
- Start date (required): When the planting cycle began (this also sets the fill date automatically)
- End date (optional): Leave blank for active plantings, set when closing
- Fill date: Automatically set to start date, but you can change it if different
Room and Area:
- Room (required): Select the room for this planting
- Only active rooms appear in the dropdown when creating
- Selecting a room automatically fills in Area and Compost Tonnage from the room’s settings
- Area (Sq Meters) (required): Room area (auto-filled from room, but can be adjusted)
- Compost tonnage (KG) (required): Amount of growing medium (auto-filled from room’s target weight, but can be adjusted)
Fill Information:
- Fill supplier name (required): Who provided the compost
- Fill Details (required): Details about the fill process
Spawn and Growing Conditions:
- Spawn/Strain (required): Select the spawn material to use
- Selecting a spawn automatically sets the seedtype field
- Moisture (%) (optional): Enter moisture percentage
Supplement Information:
- Supplement name (optional): Type of supplement used
- Supplement supplier (optional): Who provided the supplement
- Supplement (KG) (required): Amount of supplement in kilograms

Click Create
Auto-Filled Fields
Section titled “Auto-Filled Fields”When you select a room:
- Area is automatically set from the room’s size
- Compost Tonnage is automatically set from the room’s target weight
You can adjust these values if they differ from the room’s default settings.
When you select a spawn:
- Seed Type is automatically set from the spawn’s strain
Viewing a Single Planting
Section titled “Viewing a Single Planting”- From the Plantings list, click the eye icon (View) on any row
- You’ll see:
- All planting details
- Related flushes panel showing all flushes for this planting
Flushes Panel
Section titled “Flushes Panel”On the view page, you’ll see a panel listing all flushes for this planting, including:
- Flush name and number
- Start and end dates
- Status information
You can create, edit, and manage flushes from this panel.
Editing a Planting
Section titled “Editing a Planting”Who can do this: Super Admin, Operations Manager
- From the Plantings list, click the pencil icon (Edit) on any row
- Modify the fields as needed
- Click Save
Editing Active vs Closed Plantings
Section titled “Editing Active vs Closed Plantings”- Active plantings (no end date): You can edit most fields
- Closed plantings (has end date): You can still edit fields, but be careful - changing dates may affect flush assignments
Changing the Room
Section titled “Changing the Room”When editing, you can change the room if needed. The system will show all rooms (not just active ones) to allow corrections.
Updating Dates
Section titled “Updating Dates”- Start Date: Changing this may affect flush date ranges
- End Date: Setting an end date closes the planting
- Fill Date: Can be different from start date if needed
Closing a Planting
Section titled “Closing a Planting”Who can do this: Super Admin, Operations Manager
Closing a planting means assigning all harvest dates to flush numbers and marking the planting as complete.
Using the Close Action
Section titled “Using the Close Action”- From the Plantings list, find an active planting (no end date)
- Click the Close button (warning icon) on the planting row
- You’ll be taken to the Flushing page for this planting
- Follow the instructions in the Flushes documentation to assign flush numbers to harvest dates
- After saving flushes, the planting’s end date will be automatically set
When to Close a Planting
Section titled “When to Close a Planting”Close a planting when:
- All harvest cycles are complete
- You’re ready to assign flush numbers to all harvest dates
- The crop cycle is finished
The Close button is only available for active plantings (those without an end date).
Viewing Flushes for a Planting
Section titled “Viewing Flushes for a Planting”There are two ways to view flushes:
From the Planting View Page
Section titled “From the Planting View Page”- Open a planting record (click the eye icon)
- Scroll to the Flushes panel
- You’ll see all flushes for this planting
- You can create, edit, or delete flushes from here
From the Flushes Section
Section titled “From the Flushes Section”- Click Flushes in the sidebar
- Filter by planting to see flushes for a specific planting
Deleting a Planting
Section titled “Deleting a Planting”Who can do this: Super Admin, Operations Manager
Single Delete
Section titled “Single Delete”- From the Plantings list, click the Edit button
- Click the Delete button
- Confirm the deletion when prompted
Bulk Delete
Section titled “Bulk Delete”- Check the boxes next to multiple plantings
- Click the Actions dropdown
- Select Delete selected
- Confirm the deletion
Warning
Section titled “Warning”Deleting a planting will:
- Archive the planting (it will be hidden from normal views)
- Associated flushes will also be affected
- Transactions linked to flushes will remain but the flush relationship may be lost
- You can restore deleted plantings using the “Deleted records” filter
Understanding the Planting Lifecycle
Section titled “Understanding the Planting Lifecycle”1. Setup Phase
Section titled “1. Setup Phase”- Create the planting record when you fill a room with compost
- Enter all fill details, spawn, and supplement information
- The planting is now active (no end date)
2. Growing Phase
Section titled “2. Growing Phase”- The crop grows in the room
- No system actions needed during this phase
- The planting remains active
3. Harvest Phase
Section titled “3. Harvest Phase”- Harvest transactions are recorded through terminals
- When ready, use the Close action to assign flush numbers to harvest dates
- This creates flush records and associates transactions with flushes
4. Completion Phase
Section titled “4. Completion Phase”- After assigning all flushes, the planting is automatically closed (end date is set)
- The planting is now closed and appears in closed planting filters
- All harvest data is tracked through the flush records
Common Workflows
Section titled “Common Workflows”Starting a New Crop Cycle
Section titled “Starting a New Crop Cycle”- Prepare the room and gather fill information
- Create a new Planting record
- Select the room (area and compost tonnage auto-fill)
- Enter fill date, supplier, and details
- Select the spawn/strain to use
- Enter supplement information
- Set start date (fill date auto-fills)
- Click Create
- The planting is now active and ready for harvest tracking
Closing a Completed Planting
Section titled “Closing a Completed Planting”- Ensure all harvest dates have transactions recorded
- Find the active planting in the list
- Click the Close button
- On the Flushing page, assign Flush 1, 2, 3 to the appropriate date ranges
- Click Save Changes
- The planting is automatically closed (end date is set)
Updating Planting Information
Section titled “Updating Planting Information”- Open the planting record
- Click Edit
- Update any fields as needed (dates, supplement amounts, etc.)
- Click Save
Note: Be careful when changing dates on closed plantings, as this may affect flush date ranges.
Viewing Planting History
Section titled “Viewing Planting History”- Use the Active filter and select “Closed” to see completed plantings
- Or remove the filter to see all plantings
- Sort by start date or end date to find specific time periods
Troubleshooting
Section titled “Troubleshooting”Cannot Create Planting
Section titled “Cannot Create Planting”Only Super Admins and Operations Managers can create plantings. Contact your administrator if you need this access.
Room Not Appearing in Dropdown
Section titled “Room Not Appearing in Dropdown”- Only active rooms (status = 1) appear when creating new plantings
- Make sure the room exists and is active
- When editing, all rooms appear (including inactive ones) to allow corrections
Area or Compost Tonnage Not Auto-Filling
Section titled “Area or Compost Tonnage Not Auto-Filling”- Check that the room has size and target weight set
- These values are only used when creating new plantings
- You can manually enter values if needed
Cannot Close Planting
Section titled “Cannot Close Planting”- The Close button only appears for active plantings (no end date)
- If a planting already has an end date, it’s already closed
- Make sure you have permission to manage plantings
Spawn Not Appearing in Dropdown
Section titled “Spawn Not Appearing in Dropdown”- Check that the spawn exists and hasn’t been deleted
- Use the Spawns section to verify spawn records
- Contact your administrator if spawns are missing
Fill Date Different from Start Date
Section titled “Fill Date Different from Start Date”- Fill date is automatically set to start date when you create a planting
- You can manually change fill date if the actual fill happened on a different date
- This is useful for accurate record-keeping
Planting Shows as Active But Should Be Closed
Section titled “Planting Shows as Active But Should Be Closed”- Check if the planting has an end date set
- If no end date, the planting is still active
- Use the Close action to assign flushes and close the planting
- Or manually set an end date if needed
