Spawns
Spawns are the mushroom seed or strain materials used when creating plantings. Each spawn record tracks the supplier and strain information that will be used during crop cultivation.
Overview
Section titled “Overview”Purpose: Maintain a catalog of seed/strain materials (spawns) that can be selected when creating plantings.
A Spawn record contains:
- Supplier - The company or source that provides this spawn
- Strain - The specific strain or variety name
- Roll Up - A grouping category for organizing related spawns
After creating a spawn, you can:
- Select it when creating new plantings
- Track which spawns are used in which plantings
- Group spawns by roll-up category for reporting
Viewing Spawns
Section titled “Viewing Spawns”- Click Spawns in the sidebar menu (under Data Management)
- You’ll see a table with all spawns
Table Columns
Section titled “Table Columns”| Column | Description |

| Supplier | The company or source providing this spawn |
| Strain | The specific strain or variety name |
| Roll-Up | The grouping category for this spawn |
| Created at | When this spawn record was created |
Sorting and Filtering
Section titled “Sorting and Filtering”- Click any column header to sort by that column
- Use the Deleted records filter to show archived spawns
Creating a Spawn
Section titled “Creating a Spawn”Who can do this: Super Admin, Data Manager
- Click Spawns in the sidebar
- Click the New spawn button (top right)
- Fill in the form:
- Supplier: Enter the name of the company or source (e.g., “ABC Spawn Co”, “Internal Lab”)
- Strain: Enter the specific strain or variety name (e.g., “White Button”, “Portobello”, “Strain X-123”)
- Roll Up: Select a grouping category from the dropdown (if available)
- Click Create
Understanding Spawn Fields
Section titled “Understanding Spawn Fields”Supplier: The source of the spawn material. This helps track where your seed materials come from.
Strain: The specific variety or strain identifier. This is what appears when selecting spawns for plantings.
Roll Up: A categorization system for grouping related spawns together. This is useful for reporting and organization. The available roll-up options are configured by your administrator.
Viewing a Single Spawn
Section titled “Viewing a Single Spawn”- From the Spawns list, click the eye icon (View) on any row
- You’ll see all spawn details
Editing a Spawn
Section titled “Editing a Spawn”Who can do this: Super Admin, Data Manager
- From the Spawns list, click the pencil icon (Edit) on any row
- Modify the fields as needed
- Click Save
Changing Spawn Information
Section titled “Changing Spawn Information”You can update the supplier, strain, or roll-up at any time. Changes will be reflected in:
- The spawn listing
- Dropdown selections when creating new plantings
- Existing plantings will continue to show the spawn information that was selected at the time of planting creation
Deleting a Spawn
Section titled “Deleting a Spawn”Who can do this: Super Admin, Data Manager
- From the Spawns list, click the Edit button
- Click the Delete button
- Confirm the deletion when prompted
Warning
Section titled “Warning”Deleting a spawn will:
- Archive the spawn (it will be hidden from normal views)
- The spawn will no longer appear in dropdowns when creating new plantings
- Existing plantings that used this spawn will still reference it, but the spawn record will be archived
- You can restore deleted spawns using the “Deleted records” filter
Common Workflows
Section titled “Common Workflows”Adding a New Spawn Variety
Section titled “Adding a New Spawn Variety”- Create a new Spawn record
- Enter the supplier and strain name
- Select a roll-up category if applicable
- The spawn is now available when creating plantings
Organizing Spawns by Roll-Up
Section titled “Organizing Spawns by Roll-Up”- View the spawns list
- Note which spawns share the same roll-up category
- Use roll-up categories to group related strains for reporting
Updating Supplier Information
Section titled “Updating Supplier Information”- Open the spawn record
- Click Edit
- Update the supplier name
- Click Save
This is useful when a supplier changes their name or when you need to correct supplier information.
Troubleshooting
Section titled “Troubleshooting”Cannot Create Spawn
Section titled “Cannot Create Spawn”Only Super Admins and Data Managers can create spawns. Contact your administrator if you need this access.
Spawn Not Appearing in Planting Dropdown
Section titled “Spawn Not Appearing in Planting Dropdown”- Check that the spawn hasn’t been deleted
- Use the “Deleted records” filter to see if the spawn was archived
- Make sure you’re looking at the correct spawn name
Roll-Up Options Not Available
Section titled “Roll-Up Options Not Available”- Roll-up categories are configured by your administrator
- Contact your administrator if you need additional roll-up categories
- You can still create spawns without a roll-up category
Cannot Edit Spawn
Section titled “Cannot Edit Spawn”Only Super Admins and Data Managers can edit spawns. Contact your administrator if you need this access.
Duplicate Spawn Names
Section titled “Duplicate Spawn Names”The system allows multiple spawns with the same strain name but different suppliers, or vice versa. This is intentional - you may have the same strain from different suppliers, or different strains from the same supplier.
If you see what appears to be a duplicate:
- Check the supplier field - they may be from different sources
- Check if one is deleted (use the “Deleted records” filter)
- Consider if they should be the same record or kept separate
