Harvest Days

Harvest Days are the foundation of organizing daily harvest operations. Creating a harvest day is the first step in planning your work - once created, you can assign rooms, supervisors, and pickers so your teams know what to do.

Purpose: Create a harvest day to organize and plan the day’s picking operations.

A Harvest Day record contains:

  • Date - The harvest date (must be unique - one harvest day per date)
  • Notes - Optional notes about the day’s operations

After creating a harvest day, you can:

  1. Create Room Assignments - assign which rooms will be picked
  2. Assign Supervisors - designate who oversees each room
  3. Assign Pickers - add workers to each room

The system also displays summary information for monitoring:

  • Rooms Picked - Number of rooms assigned
  • Total Transactions - Count of recorded transactions
  • Total Weight - Sum of all picked weights (in kg)
  • Discrepancies - Count of transactions with data issues
  1. Click Harvest Days in the sidebar menu
  2. You’ll see a table with all harvest days, sorted by date (newest first)

  • Click any column header to sort by that column
  • Click again to reverse the sort order
  • Click the columns toggle button (grid icon) above the table
  • Check/uncheck columns to show or hide them
  • “Created at” and “Updated at” are hidden by default

Who can do this: Super Admin, Operations Manager

  1. Click Harvest Days in the sidebar
  2. Click the New harvest day button (top right)
  3. Fill in the form:
    • Date (required): Select the harvest date using the date picker
    • Notes (optional): Add any relevant notes
  4. Click Create
  • Date must be unique: You cannot create two harvest days with the same date
  • If you try to create a duplicate, you’ll see an error: “The date has already been taken”
  1. From the Harvest Days list, click the eye icon (View) on any row
  2. You’ll see:
    • Harvest day details
    • Related room assignments
    • Discrepancy overview for that day

On the view page, you’ll see a panel showing all room assignments for this harvest day, including:

  • Room name
  • Assigned supervisor
  • Assigned pickers
  • Transaction metrics

Who can do this: Super Admin, Operations Manager

  1. From the Harvest Days list, click the pencil icon (Edit) on any row
  2. Modify the fields as needed:
    • Date: Change the date (must remain unique)
    • Notes: Update notes
  3. Click Save

Changing a harvest day’s date will affect how transactions are associated with it. Be cautious when modifying dates that already have room assignments and transactions.

Who can do this: Super Admin, Operations Manager

  1. From the Harvest Days list, click the Edit button
  2. Click the Delete button
  3. Confirm the deletion when prompted
  1. Check the boxes next to multiple harvest days
  2. Click the Actions dropdown
  3. Select Delete selected
  4. Confirm the deletion

Deleting a harvest day will also delete all associated:

  • Room assignments
  • Room picker records

Transactions are not deleted but will no longer be associated with the deleted harvest day.

These metrics help you monitor progress throughout the day after you’ve set up your room assignments and team assignments. It also populates the Harvest Day Discrepancy Overview widget on the Dashboard in which transactions that don’t match the harvest day’s setup are displayed.

Number of rooms with room assignments created for this harvest day.

Count of transaction records from terminals for this date. This shows actual harvest activity.

Total weight recorded from all transactions on this date (in kilograms).

Number of transactions that don’t match your setup (incorrect room, picker not assigned, supervisor mismatch). Check the Discrepancy Dashboard to identify and fix these issues.

  1. Create a new Harvest Day for today’s date
  2. Create Room Assignments for each room being picked
  3. Assign supervisors and pickers to each room
  1. Monitor the Harvest Day Discrepancy Overview widget on the Dashboard to identify and fix issues.
  2. Monitor the Rooms with Active Transactions widget on the Dashboard to identify and fix issues.
  3. Monitor the Weight by Room widget on the Dashboard to identify and fix issues.
  4. Monitor the Weight by Terminal widget on the Dashboard to identify and fix issues.
  5. Monitor the Top/Bottom Pickers widget on the Dashboard to identify and fix issues.
  1. Open the Harvest Day record
  2. Review the metrics (transactions, weight, discrepancies)
  3. Address any discrepancies before closing out the day

”The date has already been taken” Error

A harvest day already exists for this date. Use the existing record or choose a different date.

Only Super Admins and Operations Managers can create harvest days. Contact your administrator if you need this access.

This is normal for a newly created harvest day. The numbers will update as you:

  1. Create room assignments (Rooms Picked will increase)
  2. Pickers start working and transactions are recorded (Total Transactions and Weight will increase)

If you expect to see transactions but don’t:

  1. Check the Discrepancy Report - Transactions might be recorded on the wrong date or in the wrong room. Go to DashboardHarvest Discrepancy Overview and look for misassigned transactions
  2. Verify room assignments exist - Make sure you created room assignments before picking started
  3. Check terminals - Verify that terminals are working and recording transactions
  4. Look at the Transactions screen - Use the date filter to see if transactions exist but are showing discrepancies
