Products
Products define the output items that can be harvested, including their weight specifications and quality attributes. Products are used throughout the system to categorize and validate harvest transactions.
Overview
Section titled “Overview”Purpose: Configure product specifications including weight ranges, packaging, and quality attributes that are used when recording harvest transactions.
A Product record contains:
- Name - Product name or identifier
- Description - Optional product description
- Start Date - When this product became active
- End Date - When this product was deactivated
- Number of Boxes - Packaging configuration
- Display Weight - Weight shown on packaging (grams)
- Tare Weight - Weight of empty packaging (grams)
- Checked Weight - Target weight after quality check (grams)
- Checked Weight Min/Max - Acceptable weight range for checked product (grams)
- Picked Weight - Target weight when picked (grams)
- Picked Weight Min/Max - Acceptable weight range for picked product (grams)
- Pack - Packaging type attribute
- Grade - Product grade attribute
- Quality - Quality level attribute
- Check - Check type attribute
Viewing Products
Section titled “Viewing Products”- Click Products in the sidebar menu (under Data Management)
- You’ll see a table with all products
Table Columns

Sorting and Filtering
Section titled “Sorting and Filtering”- Click any column header to sort by that column
- Use the Deleted records filter to show archived products
- Click the columns toggle button to show or hide columns
Creating a Product
Section titled “Creating a Product”Who can do this: Super Admin, Data Manager

Click Products in the sidebar

Click the New product button (top right)

Fill in the form:
Basic Information:
- Name (required): Enter a product name (e.g., “Premium White Button 250g”, “Grade A Portobello”)
- Description (optional): Add any relevant details
- Start Date (optional): When this product became active
- End Date (optional): When this product was deactivated
- Number of boxes (optional): Packaging configuration
Weight Specifications (all in grams):
- Display weight (g): Weight shown on product packaging
- Tare weight (g): Weight of empty packaging/container
- Checked weight (g): Target weight after quality check
- Checked weight min (g): Minimum acceptable checked weight
- Checked weight max (g): Maximum acceptable checked weight
- Picked weight (g): Target weight when initially picked
- Picked weight min (g): Minimum acceptable picked weight
- Picked weight max (g): Maximum acceptable picked weight
Attributes:
- Pack: Select packaging type from dropdown
- Grade: Select product grade from dropdown
- Quality: Select quality level from dropdown
- Check: Select check type from dropdown

Understanding Weight Settings
Section titled “Understanding Weight Settings”Products have multiple weight fields that serve different purposes:
Display Weight: The weight shown on product labels or packaging. This is what customers see.
Tare Weight: The weight of the empty container or packaging. This is subtracted from total weight to get net product weight.
Checked Weight: The target weight after quality control checks. This is the weight the product should be after inspection and any adjustments.
Checked Weight Min/Max: The acceptable range for checked weight. Products outside this range may need attention.
Picked Weight: The target weight when the product is first picked from the growing area.
Picked Weight Min/Max: The acceptable range for picked weight. This helps identify when picked weights are outside normal parameters.
Understanding Attributes
Section titled “Understanding Attributes”Pack, Grade, Quality, Check: These are dropdown selections that categorize products. The available options are configured by your administrator. These attributes help organize and filter products for reporting and analysis.
Viewing a Single Product
Section titled “Viewing a Single Product”- From the Products list, click the eye icon (View) on any row
- You’ll see all product details including all weight specifications and attributes
Editing a Product
Section titled “Editing a Product”Who can do this: Super Admin, Data Manager
- From the Products list, click the pencil icon (Edit) on any row
- Modify the fields as needed
- Click Save
Updating Weight Specifications
Section titled “Updating Weight Specifications”When you update weight specifications:
- Changes will apply to new transactions using this product
- Existing transactions will continue to show the weights that were recorded at the time
- Consider the impact on ongoing operations before changing weight ranges
Deleting a Product
Section titled “Deleting a Product”Who can do this: Super Admin, Data Manager
- From the Products list, click the Edit button
- Click the Delete button
- Confirm the deletion when prompted
Bulk Delete
Section titled “Bulk Delete”- Check the boxes next to multiple products
- Click the Actions dropdown
- Select Delete selected
- Confirm the deletion
Warning
Section titled “Warning”Deleting a product will:
- Archive the product (it will be hidden from normal views)
- The product will no longer be available for selection in new transactions
- Existing transactions that used this product will still reference it
- You can restore deleted products using the “Deleted records” filter
Understanding Weight Ranges
Section titled “Understanding Weight Ranges”Why Min/Max Ranges Matter
Section titled “Why Min/Max Ranges Matter”Weight min/max ranges help:
- Identify products that are outside acceptable parameters
- Track quality control compliance
- Generate reports on weight variance
- Ensure consistency in product specifications
Setting Appropriate Ranges
Section titled “Setting Appropriate Ranges”When setting min/max ranges:
- Consider your quality standards
- Account for natural variation in product weight
- Set ranges that are achievable but maintain quality
- Review ranges periodically based on actual performance data
Common Workflows
Section titled “Common Workflows”Creating a New Product Line
Section titled “Creating a New Product Line”- Create a new Product record
- Enter the product name and description
- Set all weight specifications based on your product requirements
- Select appropriate attributes (pack, grade, quality, check)
- Set start date to activate the product
- The product is now available for use in transactions
Updating Product Specifications
Section titled “Updating Product Specifications”- Open the product record
- Click Edit
- Update weight specifications or attributes as needed
- Click Save
Note: Consider the impact on ongoing operations before making changes to active products.
Deactivating a Product
Section titled “Deactivating a Product”- Open the product record
- Click Edit
- Set an End Date to mark when the product was deactivated
- Click Save
The product will remain in the system for historical records but won’t appear in active listings.
Troubleshooting
Section titled “Troubleshooting”Cannot Create Product
Section titled “Cannot Create Product”Only Super Admins and Data Managers can create products. Contact your administrator if you need this access.
Attribute Options Not Available
Section titled “Attribute Options Not Available”- Attribute options (Pack, Grade, Quality, Check) are configured by your administrator
- Contact your administrator if you need additional attribute options
- You can still create products without selecting all attributes
Weight Values Not Saving
Section titled “Weight Values Not Saving”- Make sure you’re entering numeric values
- Weight values are in grams
- Check that min values are less than max values
- Some fields may be optional
Product Not Appearing in Transaction Dropdowns
Section titled “Product Not Appearing in Transaction Dropdowns”- Check that the product hasn’t been deleted
- Verify the product has a start date and no end date (or end date is in the future)
- Use the “Deleted records” filter to see if the product was archived
Understanding Weight Calculations
Section titled “Understanding Weight Calculations”If you’re unsure about weight settings:
- Display Weight = What customers see on the package
- Tare Weight = Weight of empty container (subtracted from total)
- Net Product Weight = Total Weight - Tare Weight
- Checked Weight = Weight after quality control
- Picked Weight = Weight when first picked
